Frequently asked questions from operators
Is the facial recognition GDPR compliant?
Yes. Members explicitly consent when registering. Data is stored exclusively on the PC in your gym – no cloud. DPA and contracts were drawn up by the law firm Dr. Geisler, Dr. Franke · Rechtsanwälte Partnerschaft mbB.
What do I need on site?
Power and a LAN connection (or Wi-Fi with WPA2) plus a controllable entrance, such as a powered outside door, a turnstile or a speedgate. If something is missing, we can supply suitable hardware.
What about members who don’t want to use facial recognition?
Facial recognition is the recommended way, but the devices also read NFC and QR codes. So there’s a suitable option for every member.
How does it work with aggregator members?
On the first visit the member scans their QR code, GymID checks the permission with the provider and guides them through a short registration with photo. After that, GymID matches QR code and face. You decide which add-on modules partner members may use.
How quickly can I start?
As soon as we have all your details, we ship the devices by post – including precise connection instructions. Our support is available Monday to Friday, 9 am to 5 pm.
What happens if the internet goes down or a device is defective?
GymID has failover protection: if the internet connection drops, a safety mechanism kicks in and your gym stays operational. If a device is defective without having been damaged, we provide a replacement. We’re happy to explain more in a personal conversation.
How long is the contract?
The minimum term is 24 months; the hardware is rented during this period. We settle contract, DPA and data protection together with you before go-live.
How do I inform my members?
We provide posters and consent texts. Registration instructions also run directly on the device.
Does GymID work for chains and outside Germany?
Yes. More than 20,000 members can be verified per location, recognition takes under a second, and we can connect any gym software with an open API. Together with our technology partner collective mind GmbH, we also operate internationally.
Can I brand the device for my gym?
Yes. The design on the device can carry your logo and colours. Member instructions run directly on the device – no app needed.
